Trustee Meeting Monday, March 9, 2026

Meeting was called to order at 10 am by Steve,

Review and Approve Minutes of Feb 9, 2026 meeting. Motion by Paul / Diane.

Review Meeting Agenda

Financial Report was reviewed. A CD is coming up for renewal. A motion was made by Blair / Paul to renew the CD.

Presentation: None

Committee/Project Reports:

  • Technology – none
  • Tree Maintenance and Pruning – Town will trim the hawthorns. Steve doesn’t have a meeting set up yet with Matt form St. Mathews. He will let all know when he has a date.
  • Tree Mapping and Signage – A few more signs need to be ordered by Mike, including a small sign for the conifers.
  • Grounds and Infrastructure – none
  • Communication – none
  • Volunteers – More information needed about Terry from Little Valley that would like to join.
  • Education / Speakers – Kathy Vidovich liked the information Steve sent her. There will be a video presentation on March 19th at 7pm. History of herb gardening was done and Steve will do a presentation on Arbor Day
  • Community Relation programs Silent Book Club – Still being worked on.
  • Memorial Program – bricks have been ordered
  • Ellicottville Town – Steve had talked to Ben about the path to the pollinator area and pond feed. Two more estimates are needed for the path.
  • Field Trip – Trip to the Cleveland Botanical Gardens or Holden Arboretum were discussed.
  • Steve will contact Sandy Andrews, the head of the Senior Group to get information about planning a bus trip

Unfinished Business:

  • Dwarf Conifer Collection – nothing new.
  • Pollinator Area – Path will be put in this year.
  • Dogwood Collection – should dogwood be removed and replaced with  items we do not have? Ideas might be obtained from the March19th program.
  • Entrance Board / History – Entrance board will be used for pictures of the arboretum. A 30 x 30 photo box was built by Ed. It still needs a lock put on it. History document was done by Mike and handed out for review to be placed at the entrance.
  • Group B Tourism – Brenda is working on a new flyer.
  • Al Cox Garden – soil needs to be replaced. Perennials need to be added. Suggestions for perennials are needed.
  • Herb Garden – Ash tree removed. A meeting with Annitta and Karen will be set up to decide what should be planted.
  • Pond / spring clean- nothing new. Flyer – will be put up in businesses around town and sent to the local papers.

New Business

  • Arbor Day: Friday April 24th IIAM.  Cookies will be needed for refreshments. There will be a brief annual meeting and presentation on the history of the herb garden. John Burell with do a proclamation. Mike would like to donate a Red Maple tree.
  • Farmer Neighbor Dinner – held this year on April 15th 2026. $25 per person. Let Steve know by March 28 if you are interested in going. Nan has a painting for the auction. Steve will have some tree plugs to hand out.
  • Policy Conflict of Interest was handed out and reviewed.  A motion to approve made by Laurie/ Blair.
  • Gretchen had resigned from the Board of Trustees. Right now the board is short 2 members. Steve will contact MJ for a volunteer list.
  • Ellicottville Bike Path – nothing new.
