Board of Trustees Meeting Minutes

November 11. 2024 Ellicottville Town Center

Members Attending : Mike Braun, Ed Chapman ,Laurie Barrera, Blair Hamilton, Steve Ward, Gretchen Taft, and Diane Smith.

  • Call to order and welcome
  • Minutes: The trustees considered the minutes of the October 14, 2024 meeting. Gretchen made motion and Ed seconded it to accept the minutes. The motion was approved and carried by a unanimous vote.
  • Guest speaker:
    • Pat presented the “ Plantsoon” website input by Mike with all our trees and shrubs. Genus and species have been updated. GPS coordinates will be added with the help of Greg hired by the Town.
  • Treasurer’s report: Laurie reported income of $ 987.18 for the Oct.15- Nov.10, 2024 quarter. Expenses totaled $ 148.28. Gretchen moved and Blair seconded the report. The motion was approved and carried by unanimous vote.
  • Committee & Project Reports:
  • Technology:
    • It was approved that Mike would purchase a new computer for Arboretum use.
    • Steve thanked Mike, Blair, and Pat for all their help in getting the website up and running.
    • Tree Mapping, Inventory, and Signage: No Report
  • Tree Maintenance and Pruning Plan: No Report
  • Ground Infrastructure and Maintenance:
    • Greg Spako has volunteered to blow leaves away from buildings so that Steve can mulch up.
    • Mike would like something done about disposing of animal waste similar to what is available in the nearby dog park.
    • A discussion was held about highlighting our donation box better
    • Steve needs someone to handle keeping up the message kiosk in the herb garden.
  • Communication: No Report
  • Volunteers: No Report
  • Education Programs/ Speakers
    • There will be a virtual Tree Pruning Fundamentals program on Thursday November 21st at 6:30.
    • Nan’s first wreath class is filled and there is still room in the 2nd
    • We need a committee to plan an Arts and Crafts in the Arboretum program. Blair volunteered to research.
  • Community Relationships /Outreach: No Report
  • Memorial Program:
  • We need to get a fixed price for picnic tables in the pollinator garden area.
  • Unfinished Business:
    • Reminder of Giving Tuesday on December 3rd. cattaraugusgives.org.
  • New Business: No Report
  • Policy and By- Laws:
    • Voted to exclude two signatures on checks up to $500.00 Laurie made a motion and Ed seconded it.
  • Adjournment and next meeting: Gretchen made a motion and Laurie seconded to adjourn. Next meeting will be December 9, 2024 at 10:30.
