Trustee Meeting Minutes of August 12, 2025

  • Call to order: Meeting was called to order at 10am by Steve.
  •  Review and Approve Minutes of July 14, 2025 meeting. A motion was made by Gretchen/ Paul to approve minutes of July 14th 2025 meeting. Carried
  • Review Meeting Agenda
  • Presentation Kim from CCE did a presentation on Creatures of the night She asked for suggestions to raise funds. Desert auction where members could bring deserts or a silent auction. Maybe have an elementary class help or the BOCES culinary class.
  • Treasurer’s Report. Deposits and pay outs were reviewed. Motion to accept treasurer report by Diane/ Ed Carried
  • Committee/Project Reports;
    • Technology – Nothing new to report
    • Tree Mapping and Signage: Mike put up a new sign and more signs are not done yet from Shubert’s.
    • Tree Maintenance and Pruning Plan
      • List will be reviewed with Ray. Trees that need pruning will be marked and an estimate will be done for the pruning.
      • There is a pine tree that needs to be removed.
    • Ground and infrastructure Maintenance
      • Al Cox area is still very wet. Area was dug up and no issue was found. Ben the engineer was talk to about this issue.
      • Electric at Northup area: Paul and Ray installed a new GFI outlet on 8/11/25
    • Communication / article to papers. Article was sent to a local paper. No one had seen it as of this meeting.
    • Volunteers
      • picnic went well and another one will be scheduled for September 15th
      • review shed task board as a groupboard was not brought to the meeting.
    • Education /Speakers
      • a request was sent to Cornelll for any new zoom topics for the fall.
      • Mike herb garden needs work.
      • Annette Church email suggestions for the area: remove invasive plants, thin out the ones you want to keep or replant the entire area and mulch before fall.
      • Possibly get a student group to help with it. Earth science or conservation class.
      • Steve will contact BOCE head and Mark Ward about these classes.
      • Bradly will still be contacted by Steve, about doing a program
    • Summer Art Program – nothing new at this time.
    • Memorial Program – nothing new at this time.
    • Community Relations/ Programs – Steve will offer a tour to the senior group for the end of September.
    • Ellicottville Town (Village) – It’s budget time again. Suggested to ask for $2500.00.
      • Money could go for a new path from main path to the pollinating area.
      • Millings could be used. The bridge needs to be repaired.
      • Maybe the town could evaluate it. Water needs to be diverted to the pond.
    • Field Trips: State Park Arboretum. Go as a group or on your own in October on a Monday.
    • Tree Wish List – nothing new at this time.
  •  Unfinished Business
    • Dwarf Conifer Collection –Looks good, Needs a sign.
    • Pollinator Garden Area – discussed above.
    • Message Board – Needs to be updated with bulb planting information.
    • Pet Waste Containers – are being used.
    • Dogwood Collection – spray helped 2 out of 4.
    • Group B Tourism – Grant money could be used to draw in new visitors.
      • A new flyer could be designed to include Plantsoon.
    • Donations – Nothing new at this time.
    • Herb Garden – See above.
    • Visit Allegany State Park Arboretum – See above.
    • New Business- how will we be paying Pat Milks? A Check will be sent in the mail.
    • Policy Review – nothing new at this time.
    • A motion was made by Laurie / Steve for Paul to purchase a fountain kit and put it together.
    • Other fountain was going to be $9000 and the vendor wanted the money up front.
